Job Description

Key Responsibilities

Supplier Sourcing & Management

  • Identify and evaluate potential suppliers to ensure competitive pricing, quality standards, and reliable delivery schedules.
  • Build and maintain strong, long-term relationships with key vendors and suppliers.

Procurement Planning

  • Coordinate with internal departments to forecast material and product requirements based on project or production needs.
  • Plan and place orders in a timely manner to ensure smooth operations and avoid stockouts.

Price Negotiation

  • Negotiate contracts, prices, payment terms, and delivery schedules to secure favorable terms and cost savings for the organization.

Order Management

  • Create and manage purchase orders ensuring accuracy of item specifications, pricing, and delivery timelines.
  • Track order status and follow up with vendors to ensure timely deliveries.

Inventory Management

  • Monitor stock levels and work with warehouse/inventory teams to maintain optimal inventory levels.
  • Avoid overstocking or stock shortages through timely procurement actions.

Quality Control

  • Ensure all procured goods meet internal quality standards and specifications.
  • Coordinate with the quality assurance team for inspection and resolution of quality issues.

Vendor Performance Monitoring

  • Evaluate supplier performance in terms of quality, cost, and timely delivery.
  • Address and resolve any supplier-related issues that may impact operations.

Documentation & Reporting

  • Maintain organized records of all purchases, contracts, quotations, and communications.
  • Prepare and present procurement activity reports and cost savings analysis to management.

Compliance

  • Ensure compliance with company policies, procurement guidelines, and legal/regulatory standards.

Cost Management

  • Continuously seek cost optimization opportunities without compromising product quality.
  • Stay updated on material market trends and pricing fluctuations.

Qualifications & Experience

  • Bachelor's degree in Business, Supply Chain Management, or a related field
  • Certification in procurement (e.g., CIPS, CSCP, or equivalent) is an added advantage
  • 2–5 years of relevant experience in procurement or purchasing
