Job Description
IFR Stock Register Maintenance:
- Maintain and update the IFR Stock register as required.
Decision-Making and Issue Resolution:
- Make independent decisions regarding site operations and respond promptly to queries or concerns.
Form A Preparation:
- Accurately prepare and update Form A with employee information, including name, DOB, DOJ, Aadhar Number, contact details, UAN number, bank details, designation, and exit dates.
Summary Sheet Preparation:
- Prepare the summary sheet, ensuring accuracy and obtain Site HR approval. EP Number and Gate Pass Management
- Generate EP numbers and manage gate pass processes, ensuring timely cancellation for departed employees.
Wage Register Preparation:
- Prepare wage registers based on approved summary sheets and timesheets; submit to Admin/HR for processing.
HR Compliance Documentation:
- Compile HR compliance documents, including Wage Register, Attendance Register, Master Sheet, and Summary Sheet for each plant.
- Complete signing and stamping processes with Site HR for compliance records.
- Submit compliance documents on the portal or email them to the respective HR as required.
Leave Coordination and Backup Planning:
- Coordinate with Site HR on leave planning to ensure seamless site operations.
- Delegate responsibilities to maintain continuity during planned absences.
Communication and Reporting:
- Serve as the primary liaison between project teams, recruitment teams, and other departments.
- Ensure clear, consistent communication across sites and provide regular status updates to the Admin/HR department on site progress, issues, and changes.
Site Management and Quality Control:
- Oversee daily site operations, ensuring safety, efficiency, and compliance with project plans
- Conduct regular site visits to monitor progress and address any issues, ensuring adherence to quality standards.
Budget and Financial Management:
- Track and manage project budgets, implementing cost control measures to prevent overruns.
- Coordinate with vendors and subcontractors to ensure timely delivery of services and materials.
Documentation and Record Keeping:
- Maintain accurate records of all project activities, communications, and decisions.
- Ensure that documentation is current, accessible to team members, and includes safety inspections, permits, and regulatory approvals.
Coordination with Site Engineers:
- Manage and maintain records for Site Engineers, including leave tracking, resignations, and other personnel changes.
Additional Responsibilities:
- Make visits to Site HR offices and government offices as necessary.
Qualifications:
- Any Bachelor s degree or Diploma required.
- Proven experience in site operations, HR coordination, or project management at least 2 years.
- Proficiency in MS Office.
- Excellent communication, organizational, and multitasking skills.
- Ability to make independent decisions and work collaboratively with cross-functional teams.
Skills Required:
- Proficient in budgeting and financial tracking.
- Excellent organizational skills, with attention to detail in documentation and reporting
- Ability to coordinate and maintain effective communication with diverse teams.
