About the Role
· We are looking for a highly organized and proactive Sales Coordinator who thrives in a fast-paced environment and loves bringing structure to sales operations.
· In this role, you will work closely with the sales team to manage proposals, coordinate deals, track documentation, handle client portals, and ensure nothing falls through the cracks. If you are someone who enjoys ownership, follow-ups, and keeping sales processes running smoothly then this role is for you.
What You'll Do
Keep Sales Moving
× Coordinate closely with the sales team to ensure smooth deal execution
× Process Purchase Orders (POs) and maintain accurate sales records
× Track deals, documentation, and internal / OEM approvals
Proposals & RFP Responses
× Prepare sales proposals and commercial documents
× Read and analyze RFPs/RFQs
× Coordinate with internal teams to compile strong and timely responses
CRM & Sales Records
× Maintain clean and updated CRM records for leads, proposals, and opportunities
× Track sales activity and help maintain pipeline visibility
Invoicing & Payment Follow-ups
× Coordinate with finance to raise invoices
× Track invoice status and follow up with clients on payments
× Maintain collection trackers and ensure timely closures
Vendor & Client Portal Management
× Manage vendor/supplier portals for clients and partners
× Upload proposals, documents, compliance information, and invoices
× Ensure deadlines and submissions are never missed
Meeting Coordination
× Document and circulate Minutes of Meeting (MOMs) with clear action items
× Follow up internally to ensure actions get completed
OEM/ Partner coordination:
× Coordinate with OEMs/technology partners for quotations, pricing approvals, & proposal inputs.
× Manage OEM deal registrations and track approval status.
× Follow up with OEM teams for technical documents, compliance certificates, and product information required for proposals/RFPs.
× Track partner quotes, validity, and pricing to ensure accurate submissions.
× Manage OEM/partner portals for deal registrations and documentation updates.
What We're Looking For
• 2+ years' experience in Sales Coordination / Sales Operations
• Strong skills in proposal creation, documentation, and follow-ups
• Experience managing RFPs, invoices, and payment tracking
• Comfortable working with CRM systems and Excel trackers
• Someone who is detail-oriented, organized, and relentless with follow-ups
Bonus Points
• Experience in cybersecurity
• Exposure to vendor portals and enterprise procurement processes
