 Project Coordinator / Project Support

Key Responsibilities:

Project Coordination & Support

  • Assist Project Managers in planning, organizing, and executing project activities.
  • Create, update, and maintain detailed project schedules and timelines.
  • Document and publish meeting minutes, action items, and decisions.
  • Track project tasks, deliverables, and milestones to ensure timely completion.
  • Monitor project progress and update project documentation regularly.

Stakeholder Communication

  • Act as a liaison between project teams, vendors, and clients.
  • Coordinate with team members to gather project updates and status reports.
  • Communicate project schedules, deadlines, and deliverables to relevant stakeholders.
  • Support Project Managers in client communications, presentations, and meetings.
  • Facilitate information flow between cross-functional teams.
  • Respond to project-related queries from team members and stakeholders.

Project Documentation & Vendor Management

  • Maintain and organize project documents, records, and reports.
  • Update tracking sheets and prepare monthly progress reports.
  • Document risks, issues, and project milestones.
  • Coordinate with vendors for resources, procurement, and services.
  • Track project supplies and ensure teams have required tools and materials.
  • Support logistics and infrastructure setup with service providers.

Quality & Process Support

  • Support the implementation of project management processes, standards, and templates.
  • Ensure compliance with organizational procedures and policies.
  • Assist in maintaining quality documentation and records.
  • Support SLA and KPI tracking, reporting, and analysis activities.
  • Identify and recommend process improvement opportunities.
