Project Coordinator / Project Support
Key Responsibilities:
Project Coordination & Support
- Assist Project Managers in planning, organizing, and executing project activities.
- Create, update, and maintain detailed project schedules and timelines.
- Document and publish meeting minutes, action items, and decisions.
- Track project tasks, deliverables, and milestones to ensure timely completion.
- Monitor project progress and update project documentation regularly.
Stakeholder Communication
- Act as a liaison between project teams, vendors, and clients.
- Coordinate with team members to gather project updates and status reports.
- Communicate project schedules, deadlines, and deliverables to relevant stakeholders.
- Support Project Managers in client communications, presentations, and meetings.
- Facilitate information flow between cross-functional teams.
- Respond to project-related queries from team members and stakeholders.
Project Documentation & Vendor Management
- Maintain and organize project documents, records, and reports.
- Update tracking sheets and prepare monthly progress reports.
- Document risks, issues, and project milestones.
- Coordinate with vendors for resources, procurement, and services.
- Track project supplies and ensure teams have required tools and materials.
- Support logistics and infrastructure setup with service providers.
Quality & Process Support
- Support the implementation of project management processes, standards, and templates.
- Ensure compliance with organizational procedures and policies.
- Assist in maintaining quality documentation and records.
- Support SLA and KPI tracking, reporting, and analysis activities.
- Identify and recommend process improvement opportunities.
