Job Description

Key Responsibilities:

1. Procurement Planning

  • Identify the goods and services required by the institution.
  • Develop and implement procurement plans in alignment with organizational needs.

2. Supplier Selection

  • Evaluate, select, and approve suppliers based on quality, cost, and reliability.
  • Negotiate terms and pricing to ensure cost-effective purchasing.

3. Purchase Orders

  • Prepare and process purchase orders accurately and timely.
  • Ensure all procurement activities comply with institutional policies and procedures.

4. Contract Management

  • Draft, review, and manage procurement contracts.
  • Ensure adherence to contractual terms and resolve any disputes.

5. Supplier Relationship Management

  • Maintain strong relationships with vendors and suppliers.
  • Monitor supplier performance to ensure timely delivery and quality standards.

6. Recordkeeping

  • Maintain accurate records of procurement activities, purchase orders, contracts, and supplier databases.
  • Ensure proper documentation for audit and compliance purposes.

7. Continuous Improvement

  • Monitor market trends and recommend improvements in procurement processes.
  • Identify cost-saving opportunities and implement best practices in sourcing and purchasing.

Educational Qualification:

  • Bachelor's degree in Business Administration or a related field.
