Job Description

Key Responsibilities

Project Governance & Tracking

  • Support project governance by maintaining schedules, RAID logs (Risks, Assumptions, Issues, Dependencies), and dashboards.
  • Ensure adherence to governance standards, including stage gates, approvals, and reporting cadence.
  • Track action items, decisions, and ensure follow-up accountability.
  • Coordinate with vendors and internal teams to monitor SOW deliverables and project timelines.

Documentation & Reporting

  • Maintain all project documentation with version control in SharePoint / Teams.
  • Prepare and consolidate status reports, dashboards, and SteerCo / Working Group presentations.
  • Document change requests, maintain change logs in Smartsheet, and ensure traceability.
  • Keep accurate records of decisions, approvals, and progress updates.

Communication & Stakeholder Engagement

  • Act as liaison between project teams, stakeholders, and vendors.
  • Share updates and notifications via Smartsheet, Outlook, and Teams.
  • Support internal communication and collaboration to ensure stakeholder alignment.
  • Manage expectations through structured updates and transparent reporting.

Schedule & Resource Support

  • Assist Project Manager in creating and maintaining project schedules in Smartsheet.
  • Track progress using Gantt charts and dependency views.
  • Support resource allocation tracking (capacity, utilization, over-allocations).
  • Coordinate procurement-related activities, ensuring SOWs, contracts, and POs are tracked and stored properly.

Quality & Risk Support

  • Support quality review, issue tracking, and risk mitigation planning.
  • Ensure compliance with project standards and documentation requirements.
