Inviting applications for the role of Manager, Vendor Chargebacks
In this role as the Manager, Vendor Chargeback Operations, you will play a crucial role in overseeing and optimizing the Vendor Charge back execution processes Manager is responsible for end-to-end to end management of retailer/vendor chargebacks and deductions, from identification and validation to dispute settlement, and root c cause remediation. The analyst partners with Finance, Customer Operations, Supply Chain, and DC Operations to reduce revenue leakage, accelerate recovery, and strengthen retailer compliance using SAP and Manhattan (WM/TLM) data.
Also We are looking for experience in a detail-oriented Overages, Shortages, and Damages (OS&D) . This role is a unique hybrid, sitting at the intersection of supply chain operations and accounts payable. You will be responsible for ensuring data integrity, streamlining invoicing processes, and providing the analytical backbone for our vendor management and logistics operations.
In this role, you will investigate discrepancies between billed and received amounts and work closely with internal business units and key vendor partners to resolve distribution center receiving and invoice variances. You will collaborate with Merchants, Finance, Logistics, and DC/Club Operations to gather and interpret relevant data, identify root causes, and recommend effective solutions. Additionally, you will provide payment recommendations, document and summarize findings, and communicate updates and resolutions through clear summary reports and correspondence.
Chargebacks typically arise from compliance issues (e.g., labeling, routing), missed delivery windows, shortages/overages, etc.
Responsibilities
1.Vendor Chargeback Execution :
The Vendor Chargeback Execution Conduct vendor performance reviews.
oChargeback Intake & Validation: Monitor incoming deductions/chargebacks from retailer portals, remittances. Validate claims against PO/Invoice, BOL/Proof of Delivery, leveraging SAP records, and Manhattan WM shipment history.
oDispute & Resolution Management: Provide updates and resolutions through summary reports and correspondence.
oRoot Cause & Compliance Improvement: Investigates problems, finds root causes, and develop solutions.
oPartners with Merchants, Finance, Logistics and DC/Club Operations to gather and interpret relevant data.
2.OS&D Analysis:
oData Extraction & Analysis: Use SAP ECC to extract large datasets related to procurement, logistics, and vendor performance. Transform this data into meaningful reports.
oInventory & Order Oversight: Leverage Manhattan ERP to monitor inventory flow, warehouse performance, and order accuracy.
oFinancial Integrity: Support the Accounts Payable (AP) process by performing invoice reconciliations and investigating discrepancies between purchase orders, receipts, and billing.
oProcess Improvement: Identify bottlenecks in the supply chain or invoicing lifecycle and propose data-driven solutions.
oDashboarding: Maintain and update operational dashboards to track Key Performance Indicators (KPIs) such as carrier check in/out time and invoice accuracy.
oCollaborate with BJ's internal business units and key vendor partners to investigate dc receiving/invoice variances, identify root cause and recommend solutions
oPartner with Merchants, Finance, Logistics and DC/Club Operations to gather and interpret relevant data
Qualifications we seek in you!
Minimum Qualifications
oBachelor's degree in a related discipline and/or demonstrates capability to perform job responsibilities through previous experience
oSAP: Proven experience with data extraction, navigation, and functional analysis within the SAP environment.
oWorking knowledge of invoicing and vendor chargebacks.
oProficiency with Microsoft Office and Advanced Excel: VLOOKUPs, Pivot Tables, and complex nested formulas. You should be comfortable handling and 'cleaning' large datasets.
oCross f functional collaboration with DC Ops, Transportation, Customer Service, Sales, and AP/AR.
oAP Invoicing Knowledge: Familiarity with the 'Three-Way Match' (PO, Receipt, and Invoice) and general accounts payable workflows.
oAnalytical Mindset: An ability to not just report the 'what,' but explain the 'why' behind the numbers.
oCommunication: Ability to explain technical data findings to concerned stakeholders (e.g., Managers or Leads).
oAttention to Detail: High accuracy is critical when dealing with financial records and inventory counts.
oProblem-Solving: A proactive approach to troubleshooting system discrepancies and data gaps.
oAbility to work independently and within a team environment.
oAbility to prioritize and organize effectively.
oAbility to process a high volume of information accurately and efficiently.
oLeadership and team management experience is mandatory
Preferred Qualifications/ Skills
.BI/Automation: Experience with Power BI/Tableau and workflow tools for dispute packet automation.
.Experience with deductions/chargebacks, AR, wholesale environments where retailer compliance programs are enforced. Detailed oriented, excellent problem-solving skills.
.Experience using Manhattan (WMS/TLM) to track supply chain movements.
.Familiarity with distribution center processes
.Power BI: Experience building automated, interactive dashboards to visualize supply chain trends.
.Experience using Manhattan (WMS/TLM) to track supply chain movements.
.Supply Chain Domain Knowledge: A solid understanding of the end-to-end supply chain lifecycle, including procurement, warehousing, and logistics
