Job Title: Import & Export Documentation Manager
Location: Mumbai (Charni Road)
Employment Type: Full-Time
Working Hours: 11:00 AM – 6:00 PM (may extend based on business needs)
Working Days: Monday to Saturday
Reporting To: Operations Director / Senior Management

Job Summary
We are seeking an experienced Import & Export Documentation Manager to oversee all international trade documentation and ensure compliance with regulatory requirements. The ideal candidate will have strong expertise in logistics, customs procedures, and documentation processes, preferably within the metals or manufacturing industry. This role is critical for ensuring smooth shipment execution, minimizing delays, and supporting global business operations.
Key Responsibilities
- Prepare, review, and manage import/export documentation such as bills of lading, commercial invoices, packing lists, certificates of origin, and letters of credit
- Ensure compliance with Indian customs regulations (DGFT, ICEGATE) and international trade laws (INCOTERMS, WTO guidelines)
- Coordinate with freight forwarders, customs brokers, shipping lines, and government authorities for timely clearances
- Handle pre-shipment and post-shipment documentation, including export incentive schemes (MEIS/RODTEP)
- Track shipments and resolve issues related to documentation discrepancies, duties, or tariffs
- Maintain accurate and audit-ready records of all import/export transactions
- Collaborate with internal teams (sales, procurement, finance) for smooth documentation flow
- Stay updated on changes in trade policies, tariffs, and compliance requirements
- Support negotiation of terms with international suppliers and buyers
- Generate reports on import/export activities, cost analysis, and performance metrics
Qualifications & Skills
- Bachelor's degree in Business Administration, International Trade, Logistics, or related field
- 5–7 years of experience in import/export documentation, with 2–3 years in a managerial role
- Strong knowledge of Indian EXIM policies, customs procedures, and documentation processes
- Experience with tools such as ICEGATE, EDI, SAP, or Tally
- Good understanding of trade finance (letters of credit, bank guarantees, payment terms)
- Excellent organizational, communication, and problem-solving skills
- Proficiency in MS Office (especially Excel)
- High attention to detail and ability to work under pressure
- Fluency in English; knowledge of Hindi or regional languages is an advantage
Preferred Qualifications
- Experience in the stainless steel or metals industry
- Knowledge of ASTM standards, ISO/BIS certifications
- Certifications such as Diploma in Export-Import Management or Certified Customs Specialist (CCS)
