Glean Administrator
JOB DESCRIPTIONThe Glean Administrator acts as the primary owner of the enterprise search ecosystem, ensuring that the platform is deeply integrated into the company's digital workplace. They bridge the gap between IT infrastructure and end-user productivity by managing data connectors, refining search performance, and ensuring that information retrieval aligns with organizational security policies.
Key Responsibilities
Governance, Access & Administration
- Onboarding & Access Governance: Provision users, assign roles and groups, maintain RBAC logic, own offboarding processes, and validate automation workflows.
- Source Sync & Automation Operations: Monitor automated provisioning, troubleshoot exceptions, monitor sync health, and validate re-indexing to ensure system integrity.
- Metadata & Context-Layer Management: Manage curated context packs and collections, perform weekly cleanup, maintain tags/labels/shortcuts, and remove stale content.
- Ticket Escalations & Search Oversight: Handle T1/T2 operational escalations, resolve conflicts, and ensure search accuracy via governance rules.
- Governance & Documentation: Maintain Glean admin SOPs, RBAC diagrams, onboarding playbooks, and document automation processes.
- Training & Adoption: Track new hire training, support advanced training initiatives, and maintain training content.
- Reporting: Generate weekly reports on sync health and automation exceptions, and monthly reports on search quality, metadata audits, and usage trends.
- Automation Ownership: Own automation health and exception handling, validate workflows after system updates, and maintain runbooks.
Operational Analysis & Execution
- Workflow Execution: Trigger MCP-driven onboarding, validate automated steps, perform daily automation checks, and report failures.
- Metadata & Content Hygiene: Proactively update titles, tags, and labels, maintain collections, identify stale documents, and validate indexability.
- Automation Operations: Run routine automations, validate outputs, complete manual follow-up steps, and log failures for escalation.
- Reporting: Create weekly ticket dashboards and automation validation reports.
