Job Description

Key Responsibilities

  • Greet and welcome guests and visitors warmly upon arrival at the office.
  • Direct visitors to the appropriate departments or personnel efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Maintain a tidy and well-presented reception area with necessary materials such as stationery, forms, and brochures.
  • Provide accurate information to clients and employees both in-person and via phone/email.
  • Receive, sort, and distribute daily mail, packages, and deliveries.
  • Follow office security procedures by managing visitor logs and controlling access to the premises.
  • Order and monitor inventory of office supplies and ensure timely restocking.
  • Manage calendars and schedule appointments for guest visits, including transportation and food arrangements.
  • Coordinate internal and external transportation for events, meetings, and guest visits.
  • Perform administrative and clerical duties such as filing, scanning, photocopying, and data entry.
  • Support the admin team with various ad hoc tasks as assigned by the reporting manager.

Working Hours:

  • 6 days a week
  • 9:30 AM to 6:30 PM

Qualifications & Experience

  • Minimum graduation in any relevant field
  • Proven experience as a Receptionist, Front Office Executive, or Administrative Assistant
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Hands-on experience with office equipment (e.g., printers, scanners)
