Job Description
Roles and Responsibilities :
- Handle the front desk operations and provide administrative support to various departments within the organization.
- Monitoring the Access Control and VMS.
- Greet and welcome visitors and direct them to the appropriate person or department.
- Manage the reception area, ensuring it is tidy and presentable at all times.
- Answer incoming calls, take messages, and redirect calls to the relevant person.
- Receive and sort daily mail and deliveries, and distribute them to the appropriate departments.
- Perform general clerical duties, including photocopying, faxing, and filing.
- Assist in the preparation of reports, presentations, and other documentation.
- Maintain office supplies and inventory, and place orders when necessary.
- Invoices process and payment tracking with finance.
- Coordinate travel arrangements and logistics for employees.
- Assist in organizing and coordinating meetings, conferences, and events.
- Handle sensitive and confidential information with integrity and professionalism.
- Perform additional administrative tasks and projects as assigned.
Required Skills:
- Proven experience of 2-5 years as a front desk executive or administrative role.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Proficient in MS Office (Word, Excel, and PowerPoint).
- Ability to multitask and prioritize tasks effectively.
- Good problem-solving skills and attention to detail.
- Customer service-oriented with a friendly and professional demeanor.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
Qualifications:
- Bachelors degree in business administration or a related field is preferred.
- Prior experience in a similar role is highly desirable.
